Photo terms and conditions

Requirements for all ID card and View My Affiliation photos

To be approved for use, photos submitted and photos taken at ID Centers and ID Stations must meet all of these listed requirements:

The background and your body

  1. Use a plain, off-white or light-colored background free of shadows and textures. Exclude other objects, people, and watermarks.
  2. Capture only from the top of your hair to your collarbone.
  3. Make sure your head and shoulders are centered in the photo.

Your face

  1. Face the camera directly without tilting or turning your head.
  2. Keep your eyes open and fully visible.
  3. Have direct lighting on your face, to avoid glare and shadows.
  4. Don't wear sunglasses, head coverings, or hats. Remove your earbuds and any temporary facial patches or bandages.
  5. Keep your hands away from your face and avoid silly poses and facial expressions.
  6. Do not use filters or airbrush effects.
  7. The photo must reflect your current appearance, taken within the last six months.

The photo file

  1. Cannot be a photo of your government ID, graduation portrait, or any other printed image of you.
  2. Cannot be larger than 500KB.
  3. Cannot exceed 1000 pixels in each dimension.
  4. Must be a full color JPEG (.jpg) file.

Submit My Photo terms of use

Submit My Photo is provided by i‑card Programs. We may update these terms without notice, and any changes are effective immediately.

By submitting a photo image through the Submit My Photo website, you are agreeing to these terms of use.

By submitting a photo, you agree that it may be used for University of Illinois System purposes.

Disclaimers

We do not guarantee uninterrupted access to Submit My Photo. We cannot guarantee that Submit My Photo will be compatible with any specific hardware, software, mobile phone, or browser. We reserve the right to suspend access to the Submit My Photo web application at any time. If you cannot access Submit My Photo, you must visit an ID Center or ID Station to have your photo taken. Emailed photos are not accepted.

Approval of digital photos is based on photo requirements. Photos are reviewed only during regular, weekday business hours. Submitting a photo other than your own or that contains offensive or lewd gestures may result in disciplinary action.

Photos submitted for i‑cards

If you do not pick up your i‑card at an ID Center or ID Station within six months of your photo's approval, that photo will be deleted permanently. ID Centers and Stations are expected to withhold an i‑card if the approved photo does not reflect your current appearance.
